Wrexham County Borough Council is seeking information from suppliers on digital solutions to support the booking and management of grassroots football pitches. The Council currently manages and maintains approximately 35 football pitches used by grassroots football clubs across the county borough.
The purpose of this Prior Information Notice (PIN) is to better understand the solutions available within the market, including indicative costs, functionality, implementation approaches and timescales.
Suppliers are invited to provide information on systems that can deliver, but are not limited to, the following features:
Online booking of football pitches.
Online payments at the point of booking.
Functionality to improve operational visibility and efficiency.
Management of both casual and block bookings.
Season ticket or subscription-style arrangements for regular users.
Real-time visibility of pitch availability and bookings.
Centralised booking management, including the ability to restrict how far in advance pitches can be booked.
Suppliers are encouraged to provide:
An overview of their solution and key functionality.
Examples of similar implementations and relevant experience.
Indicative costs and licensing models, where available.
Typical implementation timescales and support arrangements.

Q - Is the Council open to a custom-built, bespoke system designed exactly to your specifications, or are you exclusively looking to procure an existing off-the-shelf software package?
A - To clarify, the Council's preference is for an established off-the-shelf solution rather than a bespoke system. We are looking for a proven product that meets our requirements and can be implemented with minimal custom development.
We welcome details of your solution, including how it would meet the Council's requirements and any indicative costs.
Q - Could you please confirm if this market engagement exercise is fully open to new suppliers
A - I can confirm that this Prior Information Notice (PIN) has been published as a market engagement exercise and is open to all interested suppliers. We welcome responses from both existing and new suppliers who feel they can provide a solution that meets the Council's requirements.
Q - is there a specific format you are looking information back in?
A - A document covering the main points and questions outlined in the PIN notice would be sufficient. If there is any additional information you feel would be beneficial for us to consider, please feel free to include this as part of your response.
Q - is the contract only for 3 months? And is the allocation budget for that 3-month period?
A - The reference to a 3-month period should not be interpreted as the intended contract length. The dates included are required for the purposes of the PIN notice published on Sell2Wales. Likewise, the indicative budget is included for market engagement purposes only, as this is currently a fact-finding exercise.
We are gathering information from the market to help inform our requirements and procurement strategy, and therefore neither the contract term nor the final contract value has been determined.
